The backup is every record in your dashboard (costs, appointments, setters, clients, calls, settings) in one file you can keep. The receipt and invoice files themselves stay in your dashboard’s storage; the backup lists their names.

What each lead source cost, and what it brought back. Spent is the same number the Commissions tab shows: lead orders, lead invoices, your VAI plan (VOXR), and PolicyTek buys minus refunds plus its plan fee. Sold, premium and commission come from your Commissions entries. Set and held come from appointments and logged calls.

Spent comes from your lead orders (the TTC receipt arrives by email, Insurance Calls Direct orders too). Calls and Sold come from the Calls section, by vendor. Left is credits or leads still unused.

Call-in leads from Insurance Calls Direct and TTC Leads: what you bought, who called, how each call ended, and what a sale really costs.
Pulls your calls, lead orders and leads-remaining count from Insurance Calls Direct on its own. Read-only: it can look at your account but can’t change anything on it. Calls you already logged, imported or got by email aren’t doubled.
- On Insurance Calls Direct, open MCP, then Tokens, then New Token. Name it Summit Command and turn on only Fetch leads, Export lead slices, Fetch orders, Run reports and Metadata. Leave recordings and transcriptions off. Copy the key when it shows; it only shows once.
- In your project folder, double-click deploy-functions.command. When it asks for the ICD key, paste it and press Return. Nothing shows while you paste. That’s normal.
- Come back here and tap Connect and sync.
A sold call becomes an Applied client with its annual premium, and a welcome packet is queued if the sale is from the last week. A follow-up from the last 14 days becomes a Lead with a follow-up date. Anyone already in Clients (same phone number, or the same name when one side has no phone) is matched, not added twice. Bad, missed, not-interested and removed calls are left out.
A call marked Sold counts as a held appointment and a sale for its vendor in Lead ROI on Command, with its premium. If you also enter that same sale as a Setters appointment with the same source, it will count twice, so use one or the other.

Orders show up here as Spent on leads. Count in Command also adds an order to your weekly and monthly lead cost on the Command tab. Do that once per order, and only if you haven’t already entered that charge there. Card numbers are never read or saved.
Set up the live feed
- On your Mac, double-click deploy-functions.command (the one you use for reminders). It makes the feed’s key and puts it on your clipboard. Paste it only into PolicyTek. To copy it again later, run that file and type K.
- If the script says the feed is private, run the one line it prints in Google Cloud Shell (same step you did for ICD and Lob).
- In PolicyTek, open Automation and make one that runs when a lead is created and sends a Webhook (POST). Address:
Leave Headers empty. Payload (replace PASTE-KEY-HERE with your key, keeping the quotes):
- Make a second one that runs when a lead is updated and its stage becomes Refund Approved, with the same address. Payload (same key):
- The next lead that comes in shows up in Orders below within seconds. Check its price: if PolicyTek doesn’t send the cost it shows Needs price, and importing your wallet file prices it.
The live feed catches each lead buy and refund as it happens. Your wallet file is still the truth for what was charged: download your wallet transactions from PolicyTek (.xlsx or .csv) and drop it here now and then. Lines the feed already caught are matched to it (and their price corrected if needed), not added again. The file also brings in the monthly plan fee, which the feed can’t see. Lead buys, refunds and the plan fee count as spend. Money you add to the wallet doesn’t. Import the same file twice, or one that overlaps, and nothing is counted twice.
| When | What | Amount |
|---|
Most lead vendors let you download your calls as a CSV from their portal. Name, phone, state, date, premium and status work best. Import it here and the calls are logged for you. Calls already logged are skipped, so importing the same file twice is safe.

Set % = sets ÷ contacts. Show % = held ÷ (held + no-shows). Close % = sold ÷ held. Pay counts each set on the day it was booked and each held appointment on the day it happened.
Saving the same setter and day again replaces that day’s numbers. Sets aren’t typed here — they’re counted from the appointments you add.

Pay is locked in when an appointment is booked or held, so changing a rate only affects appointments from then on. Setter pay shows up in your weekly and monthly cost chips and in Monthly totals. If you already include it in Misc cost, take it out there so it isn’t counted twice.

Team
Invite teammates to their own private dashboard. Each person signs in with Google and sees only their own numbers, clients and receipts — you can't see theirs and they can't see yours.
Nothing is emailed — just tell them to open summittrackers.com, tap Log in and use that Google account. Gmail receipt sync works for accounts on your summitlifefin.com domain; for anyone else it stays optional until Google approves the app for outside users.

The AI helper starts off for everyone you invite, because Gemini is billed to your Google project. Switch it on for one person at a time. Clients
Policy records, follow-ups and notes.
Fields you can use: {first} {name} {policy} {carrier} {product} {when} {issueDate} {agent} {agency} {sign}. {when} turns into “today”, “yesterday” or “on October 28”.
The dashboard never sends anything itself. Each message opens your own Messages or Gmail with the wording filled in; you tap send there, then tap Mark sent here. Only clients whose issue date is on or after the day you turn this on are included, so nobody from your older book gets a message. Carriers and ORCA often require client-facing wording to be approved — check yours before you rely on it, and keep each message to that client’s own policy.

Notability backs your notes up to Google Drive as PDFs. Pick the folders here and Gemini reads each new note, pulls out the client details, and shows you a list to check first. Nothing is added to Clients until you tick it and press Add. Read-only: the dashboard can look at the folders you pick but can’t change anything in Drive, and Social Security, bank and health details are never pulled.
- In Notability, open Settings, then Auto-Backup, choose Google Drive and sign in. Set the format to PDF and turn on the Subjects or Dividers you want backed up. Notability then keeps a Notability folder in your Drive up to date.
- In Google Cloud (project summit-command-e58b9), open the Google Drive API page and press Enable. On the OAuth consent screen, under Data access, add the drive.readonly permission (the Gmail one is already there).
- Come back here, tap Connect Google Drive and allow it, then Choose folders and Scan now. If your Notability backup is in a different Google account than this login, pick that account in Google’s window.

The order email carries only the name, mailing address, carrier and product (and phone / email only if you turned that on in Packet settings) — never a policy number, premium, health or bank detail.
One-time Lob setup: in your Lob account, add a payment method and copy your Test secret key (it starts with test_) from the API Keys page. Then double-click deploy-functions.command in your project folder, choose L, and paste the key. Come back here and tap Check. A test key makes a proof PDF only — nothing is printed, mailed or charged — so start there. When the proof looks right, run deploy-functions.command again, choose L, and paste your Live key. Live letters cost real money and can’t be recalled once Lob starts printing. Lob’s default is a 4-hour window to cancel a letter; the Sent list shows Undo until then. The use type below is your call: operational is for account/service letters, marketing for anything promotional, and you are responsible for choosing correctly.
One-time Lob setup: create your Lob account and add your return address. Download the letter template below. In Lob, open HTML Templates → New template (Letter, 8.5×11), paste it in, and create it in the Live environment. Each time after that: tap Download CSV for Lob in the queue, then in Lob start a Campaign → Letters, upload the CSV, pick this template, check the proof (the address must sit in the window, clear of the greeting) and place the order.
The starter letter makes no promises about coverage, benefits or rates. Carriers and ORCA often require client-facing materials to be approved — check with ORCA compliance before your first send, and only use a fulfillment vendor your carrier has approved. Lines with an empty field are left out of the letter.
Keep SSNs, bank details and health information out of this log.

Ask a case question and get the answer straight from the carrier guides you've uploaded, with the page it came from.
- Make a free NVIDIA key. Sign in at build.nvidia.com, open any model, and choose Get API Key. It starts with
nvapi-. - In your project folder, double-click deploy-functions.command, type N, press Return, and paste the key when it asks. Nothing shows as you paste.
- Come back here and tap Test connection.
Leave out names, Social Security numbers and policy numbers. Numbers like those are stripped before anything is sent, but a name can't be spotted. Your question and the best-matching guide passages go to NVIDIA to be answered.
Text PDFs only; a scan (a photo of each page) has no text to read. Up to 45 MB each. Reading a long guide takes a few minutes, and you can leave this page open or come back later and press Continue. Guides go out of date, so replace them when a carrier sends a new one.

Download the statement as a CSV from your carrier’s or agency’s portal, or choose the PDF. You check every line before anything is saved, and the same statement can’t be counted twice.
Reading PDFs with AI is off for your workspace. A CSV works the same way, or ask Edwin to switch the AI helper on for you.
