This explains what Summit Command and summittrackers.com collect, why, who can see it, and what you can do about it. It is written to be read, not skimmed past.
Who we are
Summit Command is a private tracking dashboard for insurance agents. It is run by Summit Life Financial LLC (“we”, “us”), the operator of summittrackers.com. The public pages on the site are just information. The dashboard is invite-only: you can sign in only if we added your Google account to the invite list.
What we collect
- Your sign-in. When you sign in with Google we receive your Google account email, your name and a Google account ID. We use them to check that you were invited and to show your name back to you.
- What you enter. Your weekly numbers, expenses and receipts, call logs, clients (the names, phone numbers, emails, policy details and notes you choose to type), commissions and chargebacks, goals, and any files you upload.
- Things you choose to connect. Where Google allows it for your account, you can connect Gmail so receipts and order emails can be found. That connection is read-only. The dashboard does not send email unless you press a button to send a message you have just seen.
- Feedback. Anything you write in the Send feedback box, along with your name, email and the page you were on.
- Basic technical data. Our hosting provider, Google, keeps ordinary server logs (such as IP address and browser type) to run the service and keep it secure. These pages use no advertising trackers and no third-party analytics.
What we do not want
Please keep Social Security numbers, bank or card numbers, passwords, and health information out of the dashboard, including the notes. The dashboard reminds you of this where you type notes, and card numbers are never read or saved. If you put something like that in anyway, you are choosing to store it there.
How we use it
We use your information to run the dashboard for you: to show your numbers back, to keep your account secure, to fix problems, and to read your feedback. We do not sell your information, we do not use it for advertising, and we do not hand your clients to other agents, lead vendors or marketers.
Who can see your workspace
Every invited person has a private workspace. Other people on the team cannot open it, and the owner’s own dashboard cannot open it either. That is enforced by rules on the database, not only by what the page shows.
To be plain about the limit of that: we operate the Google Cloud project that stores the data, and the people who administer that project can technically reach the database through Google’s own tools. We will not look at your workspace except to fix a problem you have asked us about, to protect the service from abuse, or because the law requires it.
You are the one deciding what to store about your own clients. Make sure you are allowed to keep it under the rules of the carriers and agencies you work with.
AI features
The AI helper is off for invited people unless the owner switches it on for you. When it is on, the text or file you ask it to read, and for the assistant a summary of what is on your dashboard (which can include client and caller names), is sent to Google’s Gemini service through our Google Cloud project to produce an answer. AI reading of notes and statements always shows you the result to check before anything is saved. We do not use your content to train our own models. How Google handles content sent to Gemini is covered by Google’s own terms, which you can read on Google’s site.
Other services we rely on
The dashboard runs on Google services: Firebase Authentication for sign-in, Cloud Firestore and Cloud Storage for your data and files, Firebase Hosting for the site, and Cloud Functions for a few server tasks. If a feature sends information to another company, for example mailing a welcome letter through a print-and-mail service, it is described where you turn the feature on, and it only sends what that feature needs, such as a name and mailing address.
Keeping it safe
Data is encrypted in transit and at rest by Google. Access is limited by sign-in and by rules enforced on the server. No system is perfectly secure, so if you notice something that looks wrong, tell us right away using the contact button on summittrackers.com.
Keeping and deleting your data
We keep your workspace for as long as your access is active. You can download a full copy at any time from Data, then Tax year export & backup. If you want your access paused, or your workspace deleted, ask us and we will do it promptly. Copies held in Google’s backups and logs age out on Google’s own schedule.
Your choices
You can correct or remove anything you entered by editing it in the dashboard. You can disconnect Gmail in your Google account settings. Depending on where you live you may have additional rights over your information, and we will honor reasonable requests.
Who this is for
Summit Command is for adults working in insurance sales. It is not meant for anyone under 18.
Changes
If we change this policy in a way that matters, we will update the date at the top and tell dashboard users inside the dashboard.
