Summit Trackers
Built inside a working insurance agency

Every lead. Every dollar. One scoreboard.

Summit Trackers pulls your lead costs, calls, clients and carrier commissions into one private dashboard, so you can see which lead source really pays before you buy the next batch.

For independent agents, agency owners and new recruits. Private, by invitation.

The whole path

From the first dollar spent to the commission check.

Most agents track one slice of this and guess the rest. Here the slices connect, so each number explains the next.

  1. 01

    Buy

Lead orders, invoices and receipts land in one ledger, by vendor.

  2. 02

    Work

Calls, appointments and daily activity are logged as they happen.

  3. 03

    Sell

Sold calls turn into client records, with premium and follow-ups attached.

  4. 04

    Get paid

Commissions and chargebacks, by carrier and by the lead source that produced the sale.

  5. 05

    Measure

Cost per sale, what is left after costs, goals and pace, always current.

The platform

Everything you spend and everything you make, in one place.

Tracking shouldn't mean a dozen tabs and a shoebox of receipts. This is what it looks like when costs, leads, appointments and clients all feed one scoreboard.

The total, first thing.

Lead invoices, dialer and phone charges, software and anything else you spend add up to one number for any week, month or year, with each line one tap away.

  • See where the money actually goes, line by line.
  • Compare to last month without opening a spreadsheet.
  • Premium against cost, so you know what each dollar returned.
CostsThis month
Example
Total spent$4,820.00everything tracked, all in
Lead cost$2,400.00
Telesales$1,560.00
Misc cost$620.00
Software & tools$240.00
Premium lodged $12,0005.0x lead cost$0.40 spent per $1 of premium

Private by design: it sits behind a sign-in, and only the people you invite see anything. Questions about the dashboard? Send a note.

Every capability

One dashboard for the whole operation.

The pieces an independent agent or a small agency actually needs, all reading from the same records.

See the real total

Every cost, one total

Lead invoices, phone, dialer and software roll up for any week, month or year, with every line one tap away.

Stop digging in March

Receipts that file themselves

New receipts from vendors it recognizes are read from your inbox and sorted into a ledger. Anything else, drop in a PDF or a photo and check what it read.

Know which source pays

Cost per sale, per lead source

Spend, appointments and sales for every lead source side by side, so the ones that only feel busy stand out fast.

Match money to the source

Commissions by carrier and lead source

Add a sale from a carrier list and a lead-source list. See what each one paid after chargebacks, and what was left once the leads were paid for.

Nothing falls through

Every call becomes a record

Import call reports from any lead vendor. Sold calls become clients with their premium, and follow-ups land on your list.

Run the day on numbers

A daily tracker with +1 counters

Count dials, conversations, appointments and sales as they happen, then see the week and the trend.

Know if you're on pace

Goals with a pace marker

Monthly targets for sales, appointments held and premium, with a marker for where you should be today.

Protect what you wrote

Lapse and at-risk alerts

Spot clients at risk of lapsing, watch persistency, and follow up before a chargeback lands.

Your numbers are yours

Tax-year export and a backup

One file with every charge on its own line for your CPA, and a single backup of every record whenever you want a copy.

Ask your numbers

An assistant that answers from your own data

Ask in plain English which source is costing you most, how the month is pacing, or what you spent on software. It reads your dashboard and nobody else's, and it is switched on person by person.

Example · made-up numbers
Which lead source is costing me the most per sale this month?
Call-in leads. $900 per sale on 1 sale, against $200 on Facebook leads and $100 on direct mail. That is the one to look at before your next order.
Private by design

A separate workspace for each person

Invite people by email. Each signs in with Google and sees only their own numbers, clients and receipts.

The idea behind it

If you're not tracking it, you're hoping.

Three questions. No pressure.

  • What did you spend on leads last week — to the dollar?
  • Of those leads, how many turned into a real appointment?
  • What is one lead actually worth to you, after costs?

If any of those made your stomach drop a little, good. That feeling is the most valuable thing in your business right now, because it's pointing at the exact place you're losing money without knowing it. Busy isn't the same as profitable, and you can't coach, scale, or fix what you can't see.

The scoreboard

Four numbers run your whole business.

You don't need a hundred metrics. You need these four, every week, written down. Everything else is detail.

01

Cost per lead

lead spend ÷ leads worked

Tells you what it costs just to get a name in front of you. Compare vendors and lead types here — a "cheap" lead that never picks up isn't cheap.

02

Appointment rate

appointments ÷ leads worked

How good you are at turning contact into a conversation. If this is low, the problem is your first 30 seconds, not your lead source.

03

Close rate

sales ÷ appointments

How good you are once you're in front of someone. Small gains here are the cheapest raise you'll ever give yourself.

04

Cost per sale & net

total spend ÷ sales
commission earned − total spend

The one that decides everything. If a sale costs more than it pays you, more activity just loses money faster.

Try it

Put your last 30 days in. See what's really happening.

Who it's for

Built for the people who carry the cost of every lead.

The solo agent

You are the producer, the marketer and the bookkeeper.

See what each lead source returned before the next order, and stop rebuilding your year from your inbox.

  • Receipts that file themselves
  • Commission matched to the source
  • One clean file for your CPA
The agency owner

You buy the leads, so you need to know which ones earned their keep.

Invite the people who work with you. Each gets a private workspace with their own numbers, clients and receipts.

  • Cost per sale by lead source and carrier
  • Invite-only access you control
  • A backup of every record, on demand
The new recruit

You are building habits that will carry your whole career.

Log the day, read the four numbers on Monday, and walk into every coaching call with something real to point at.

  • A daily tracker with +1 counters
  • Goals with a pace marker
  • Plain-English answers from your own data
Tax season

The receipt you can't find is a deduction you can't claim.

You're a business owner the moment you start paying for leads, a dialer, software and a domain. Tracking turns that mess of emails into a clean record you can hand to your CPA in a minute instead of rebuilding your year from your inbox.

  • Log it when it happens. A receipt logged on the day takes seconds. A year of them takes a weekend.
  • Keep the proof with the number. Store the invoice next to the amount so any line can be backed up.
  • Separate business from personal. One card, one place, no guessing which charge was which.
  • Know your real profit all year, not just in April when it's too late to change anything.
What gets tracked gets fixed. What gets guessed gets repeated.
Not tax advice. What's deductible depends on your situation, so sit down with a CPA who works with self-employed agents and let them tell you exactly what applies to you.
Make it a habit

A 15-minute weekly rhythm.

You don't need a fancy system. A spreadsheet works. What matters is that you do it the same way every single week.

  1. Write it down

Lead spend, leads worked, appointments, sales, premium, and every expense from the week. Same place, every time.

    10 min · Monday
  2. Read the four numbers

Cost per lead, appointment rate, close rate, net. Compare to last week and ask one question: which number moved, and why?

    3 min · Monday
  3. Change one thing

Cut the worst lead source, tighten your opener, or double what's working. One change, then measure it next week.

    2 min · Monday

Ten plus three plus two. Fifteen minutes, once a week.

Quick answers

Questions people ask first.

Short answers, no fine print. Still stuck? Send a note and we'll sort it out.

Do I need special software to start?

No. A plain spreadsheet works. What matters is that you write the same numbers down the same way every week. Software only makes that faster and harder to skip.

Does the calculator save or send what I type?

No. Everything is worked out right here in your browser. Nothing you type is sent or stored anywhere, and it's gone when you close the page.

What counts as lead spend?

Everything it costs to get a name in front of you: vendor invoices, purchased call-ins, ads, and the dialer, phone and software charges that exist to work those leads. Use the same 30 days for every number so the ratios mean something.

Can it track my commissions by carrier and lead source?

Yes. When you add a sale you pick the carrier and the lead source from a list, then type the monthly premium and what you were paid. Chargebacks and renewals file under the same sale, and one page shows what each carrier and each lead source paid you, and what was left after the leads were paid for.

How often should I look at my numbers?

Weekly, at the same time. Fifteen minutes on Monday is enough to catch a bad lead source before it eats the month. Then once a month, step back and compare to the month before.

Who can see my numbers in the dashboard?

Only people who are invited, and each person sees only their own numbers, clients and receipts. The dashboard sits behind a Google sign-in, and nothing on this page is connected to it. The examples above are made up to show the idea.

Does it work on my phone?

Yes. The dashboard is built to be used on a phone screen and can be installed to your home screen like an app, so you can add a sale or log your day between calls.

Can I get my data out?

Yes, any time. Download a year of costs as one file with every charge on its own line, a month-by-month summary, or a single backup of every record in your dashboard. Your numbers are yours.

Is any of this tax or financial advice?

No. It's education about tracking your own business. What's deductible depends on your situation, so sit down with a CPA who works with self-employed agents.

Why this exists

Summit Trackers comes out of a working insurance agency, where every lead, call, cost and receipt is tracked down to the invoice. The pattern is always the same: the day an agent starts seeing the numbers is the day they stop guessing. This page is here to get you there faster.
